Clubhouse Policies/Procedures

Clubhouse Reservation & Rental Information 
*Only Eagle Springs Residents may Reserve Eagle Springs Facilities*
*Residency & Eligibility are Verified prior to Approval*

  • Please check the Community Calendar prior to submitting your reservation request for availability. 
  • Private reservation requests are accepted up to 90 days in advance at regular rental rates. Reservations booked over 90 days out require a non-refundable/non-changeable $250 fee. Reservations can be booked only up to 1 year in advance (91-365 days).  Please click here for the Private Reservation Request Form. 
  • Please submit your request in plenty of time; allow at least 2 - 3 business days to receive a response. 


  • ALCOHOL is permitted at the Rental Facilities, provided it is BEER AND/OR WINE ONLY. A PEACE OFFICER is required for any events after 6 pm. The Peace Officer must be licensed and certified in the state of Texas, and a contract between the Peace Officer and the Resident Event Host must be provided to the Onsite Office prior to event. For a single glass toast of sparkling wine, no peace officer is needed.  Any violation of this policy will result in forfeiture of deposit and possible further action taken against the Resident Event Host.


  • Facilities are NOT available during Eagle Springs Community Association use. 
  • Weekends are set aside for the private use of Eagle Springs' residents.  Weekdays are open to all Eagle Springs' committees, groups, or clubs, as well as being available for private use by residents; minimums apply.  
  • Everyone (private residents, clubs, committees, groups, etc.) must sign, or have on file, a Facility Use Agreement.  Photo ID will be required to prevent fraud.


  • Reservation requests are only taken online through this website.  You must be registered on this website and be logged in to view, access or submit the reservation forms.  Please contact the Onsite Management Office should you need help in reserving the facilities.
  • There are separate application forms for private rental reservations and for group reservations.  Please choose the correct form for your needs. 
  • All requests are date & time stamped and are accepted & approved on a first-come, first-served basis. No exceptions.
  • ESCA community events will be given priority over any (non-paying) group reservations. 
  • Non-paying groups are limited to the use of the meeting rooms in the Eagle Springs Clubhouse and Valley Springs Clubhouse only.  Non-paying groups are non-profit community groups that are open to all Eagle Springs' residents, such as scout troops, bible studies, Eagle Springs' clubs or groups, etc.  Two groups may meet in the two separate meeting rooms at the same time and will share restroom and kitchen facilites.  At no time will groups be allowed to meet in the main space of the Eagle Springs Clubhouse or be able to reserve the entire facility at the Valley Springs Clubhouse. 


  • Reservations must be made in 2-hour minimum blocks of time for weekdays and in 4-hour minimum blocks of time for weekends.  
  • All “set-up” and “clean-up” time is included in the reservation times listed.  Additional time for setting up, outside the block of time reserved, is NOT included; if additional time is needed, please include this time in your request. Please allow enough time to meet your needs and be exited by the end of your reservation period.
  • Specific rates & information for the Eagle Springs Clubhouse and Valley Springs Clubhouse are listed below under each facility's specific information.
  • Security deposits are due within 2 (two) business days from the date of approval, or the date shown on approval email. Reservations that have not been secured with a deposit will be cancelled after 10 (ten) days from the date of approval, without further notice. 
  • Rental fees are due and payable the week prior to the event date or date shown on Facility Use Agreement. 
  • ONLY the resident (or spouse) whose name appears on the Facility Rental/Use Agreement may sign the Facility Rental/Use Agreement.  No exceptions.
  • The Onsite Management Office accepts checks, money orders, and credit cards. (Visa, MasterCard, Discover, and American Express).  


  • Reservations should NOT be considered "approved" until an "Approval Email" is received from Onsite Management.
  • Reservations should NOT be considered "confirmed" until the Facility Rental/Use Agreement has been signed and Onsite Management has acknowledged receipt of the security deposit.


  • An attendant will be on duty to unlock the doors and open the clubhouse for you at the start of your rental period, as well as close and lockup the facility at the end of your rental period.  The attendant will also adjust the thermostat, raise and lower blinds, and answer any questions.  The attendant does not set up or break down tables and chairs.  Regular attendant rate is set at $15/hr. Payable with Cashiers Check or Money Order.


  • Holiday rate is set at $25/hr. for the following Holidays that fall on a Friday-Monday weekend or that may fall on a weekday. Holiday rate effects the weekend before a weekday holiday that falls on a Monday or Tuesday and effects the weekend after a weekday holiday that falls on a Wednesday or Thursday:


    • Good Friday/Easter
    • Memorial Day
    • July 4th
    • Labor Day
    • Any weekday or weekend between November 15th – January 5th


  • Cancellation of a confirmed reservation will receive a full refund provided a 48-hour (forty-eight hour) notice is provided to Onsite Management, by email or phone.
  • Less than a 48-hour (forty-eight hour) notice may result in a forfeiture of all or part of security deposit.  Cancellations should be emailed to: Reservations@InsideEagleSprings.com or phoned to: 281-812-8194.

The Eagle Springs Clubhouse includes a main meeting space, plus two meeting rooms.  Residents who reserve the Eagle Springs Clubhouse get the use of all three spaces.

The Valley Springs Clubhouse includes both meeting rooms joined together as one big room. Each meeting room is one half of the clubhouse - there is a dividing wall that expands to split the clubhouse into two separate spaces.  Both the kitchen and restrooms are shared by both meeting rooms.
